JOB PURPOSE
Administrative support for the Logistics and procurement in Chios to aid in European Refugee Crisis operations across Greece.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Allocation and Tracking of accommodation of staff and visitor in Hotels and apartments by maintaining a spreadsheet
• Maintain arrivals/departures board and lodging assignments board
• Arrange airport pickup and drop offs & communicate travel and accommodation information to incoming/departing staff members
• Assist locatable staff with finding accommodation in Chios
• Preparing of doc for payment hotels and apartments
• Supervision of office cleaning and tidiness
• Ensuring of enough office sitting space and furniture
• Ensuring of working internet in office and Souda
• Ensure supplies of stationery and printer cartridges are sufficient
• Manning of the reception and answering of phone calls
• Payment of electricity and telephone bills
• Issuing of telephone credit to staff as directed by HR
• Arrange staff meetings and prep/clean up space for meetings and plan for staff care activities and new staff orientation
• Ensure the kitchen is stocked with adequate drinking water and tea/coffee ingredients
• Responsible for procuring office supplies and keeping stock filled
• Coordinate staff travel and accommodation, when necessary fill TAs for staff in coordination with HR
• Act as point of contact with landlords and repair service people
• Managing property contracts and monthly payments
• Request email accounts & IT needs for new staff
• Maintain office asset inventory list
• Maintain IT assignment spreadsheet
• Update and disburse office contact list
• Any other duties as assigned by the Operations Manager & Area Coordinator
Key Responsibilities

Clean and supply designated facility areas in outside areas(sweeping, mopping, scrubbing, disinfecting and general cleaning of assigned areas )

Perform and document routine inspection and maintenance activities

Carry out heavy cleaning tasks, collection of items and special projects

Inform management of any repairs or replacements required of maintenance equipment;

Cooperate with the rest of the staff

Ensure all cleaning activities are carried out efficiently in line with established security protocol.
