SUMMARY
· The Logistics Officer will assist in ensuring the Procurement component of the program is compliant with all policies and procedures.
· The Logistics Officer will post tendering advertisements and maintain records of all procurement files.
· The Logistics Officer will do market surveys to note new vendors entering the market and capture changing trends in the market.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Procurement

Receiving of Purchase Requests from programs
-
Sending out of RFQs to vendors
-
Receiving of quotations from vendors
-
Preparing the Quote Analysis
-
Preparing of Purchase Orders and Contracting vendors
-
Receiving of supplies/sending them to warehouse
-
Preparation of the payment docs
-
Conducting of Market Surveys to capture new vendors and emerging market trends
-
Preparing of products price catalogues and sharing them out with programs
-
Receiving and acting on the procurement plans from programs
-
Respond to customer and supplier inquiries about order status, changes, or cancellations.
-
Review requisition orders in order to verify accuracy, terminology, and specifications.

Maintain a Purchase Request tracking system that serializes the PR and that shows the status of every Purchase Request
-
Liaise closely with clearing agent to ensure that those items requiring Customs duty exemption are noted and the duty exemption process is executed in time
-
Ensure that procurement for the program is done in line with the SP procurement procedures
Fleet
-
Assist the Operations Manager in ensuring that vehicles at program locations are only driven by authorized SP drivers
-
Ensure that all trips undertaken by SP vehicles are noted on the motor vehicle Log sheet

Check periodically to ensure that all onboard equipment required in the FOG is in the SP vehicles are functional and accounted for
Security
-
Making sure that the emergency & hibernation supplies are ready for use at all times
-
Ensuring that fire extinguishers are functional at all times.

Maintain an Occurrence log that records all the security incidents.
