Samaritan's Purse is a nondenominational evangelical Christian organization, based in the United States, providing spiritual and physical aid to hurting people around the world. Since 1970, Samaritan's Purse has helped meet needs of people who are victims of war, poverty, natural disasters, disease, and famine with the purpose of sharing God's love through His Son, Jesus Christ.

 

JOB PURPOSE

To support SP Greece Programming through Logistics and operational support based in Athens to include Athens, Northern Greece and the Islands. Primarily reporting to the Logistics Coordinator.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

Procurement

·         Perform regular Market Research on regular items as well as getting quotes for items or services as requested

·         Procurement of items for SP Greece programming through market research per SP Procurement Policy in a timely manner as per Purchase Requests (PR)

·         Formulate Paperwork as per SP Procurement Policies in liason with the Logs Coordinator

·         Keep updated Suppliers lists and single/sole source suppliers to be agreed with IHQ

·         Maintain good relations with Local Suppliers, service providers etc

·         Respond to emergency procurement for Programmes as necessary including out of hours .

 

Fleet

·         Management of Fleet of SP vehicles including departmental vehicle bookings as per Vehicle Fleet Policy Greece, ensuring best use of all the Vehicles

·         Add new drivers to the Providers Insurance as well ensuring new drivers are tested and Drivers code of conduct signed and understood before a SP Vehicle is taken            out

·         Have regular contact with the Fleet Officer in each programme location to ensure Maintenance of vehicles is carried out

·         Record all accidents/incidents with the Vehicles and work with provider to ensure insurance claims are filled in and monies received

·         Keep updated records of all drivers IDs , Licences and drivers code of conduct and supply relevant info to the Provider for Insurance Purposes

·         Track –weekly the mileage and fuel consumption of all the SP Fleet and note any issues to the Logs coordinator

·         If drivers required to drive personnel around then work with the SP Driver and the Logs Coordinator the best schedule.

 

SP Equipment

·         Keep updated records of all SPIR Assets in Athens and send to the Logs Manager every month this asset list

·         Keep and Inventory of all office furniture/equipment for future records

·         Work alongside IT/HR to ensure new personnel receive appropriate SP Clothes/equipment which is returned at the end of the contract

 

Warehouse

·         Assist at the warehouse with loading and unloading, categorizing items, inventory, waybills, delivery notes, and stock reports are correctly filled out

·         Ensure a Physical Inventory of all stock is carried out on a monthly basis

·         Ensure all Store Requests are done in a timely manner as appropriate for the response

·         Update Stock Reports Tracker and Movement Tracker after each transaction and sent to Logs Manager, Logs Co-ordinator and Senior Operations Manager

·         Keep all Health and Safety requirements within the warehouse including keeping the work place clean and tidy

·         Work with Volunteers and visitors to the warehouse

·         Work with those responsible for Transportation in giving of information of no of pallets etc

·         Drive Stock to Ministry sites as required

 

Transportation

·         Arrange transportation to requested destinations when dispatching items to multiple SP Greece locations, keeping accurate records.

·         Responsible for Invoices and payments to provider as per SP Procedures

 

Finance documentation

·         Obtain cash for Logs procurement purposes ensuring payment is as per SP Policy and Greek laws

·         Obtain quotes/receipts/proformas and Invoices for goods and services

·         Ensuring correct documentation is completed all Logs Paperwork as per SP Procedures

 

Report writing

·         Regular reporting of activities as described by Logs Coordinator including keeping trackers updated

 

 

Any other task as requested by the Logistics Coordinator and Logistics Manager/ Senior Operations Manager.

PREFFERED SKILLS/QUALIFICATIONS

  • Able to work in a changing and challenging environment in Humanitarian Aid context including working with Internationals
  • Knowledge of Greek legal documents concerning invoicing, payments, and purchases on an enterprise scale
  • Excellent communicational skills
  • Ability to drive vehicles, so must be over 25 years of age and atleast one years experience
  • Commitment to excellence, integrity, and credibility
  • Proficiency with calculations and monetary transactions
  • Team player, able to submit to authority, willing to follow rules and procedures as set by SP Greece policy and supervisors
  • Working knowledge of computer systems and MS Office
  • Receptive to on-training
  • Able to respond to emergencies that may require out of hours working
  • Self-confident and able to take initiative in order to complete a task
  • Fluency in Greek and English, written and Oral.

EDUCATION AND EXPERIENCE

Bachelor's degree from four-year College or university; or a minimum of 1 to 2 years’ related logistics and procurement experience; or equivalent combination of education and experience.

The employee must occasionally lift and/or move up to 50 pounds/21 kg.
